Cancel your organization's service
Understand what cancelling does, what to export first, and how to cancel the whole organization.
What cancelling does
Cancelling ends MintCheck for your whole organization, not just for you. Only the super admin can do it.
When you cancel:
- Everyone loses access immediately. All administrators, including sub-admins, and all workers can no longer sign in or use MintCheck.
- Public QR pages stop working. Complaint forms, public logbooks, and other pages people open by scanning your QR codes are no longer available. Visitors see a notice that the service has ended.
- Workers see a notice too. When a worker signs in or scans a QR code, the screen says the service of this organization has ended.
- Your email address stays taken. You cannot sign up for MintCheck again with the same email address.
- Billing stops at the next renewal. Your subscription is not renewed, so you are not charged again. There is no refund for the rest of the current billing period.
- Your data is kept for 90 days. During this time, MintCheck support may be able to restore the organization if you contact them. After 90 days, all data is deleted for good.
If you only want to spend less
You may not need to cancel at all. Consider these options first:
- Move to a smaller plan. A downgrade takes effect at the end of the billing period and keeps all your data. See Plans and billing.
- Remove a sub-admin. To stop one person from signing in, change their status or delete them in Administrators. See Administrators.
- Stop a worker. Deleting a worker only makes them inactive, and their history is kept. See Workers.
Before you cancel
Once access is blocked, you can no longer download anything. Work through this checklist first:
- Export inspection records. Go to Inspections, open All inspection records, clear the dates, and click Export to Excel. Repeat for each site.
- Export work tasks. Go to Work Tasks. On each card (Immediate, Scheduled, Overdue, and Completed), click Export to Excel. Repeat for each site.
- Handle open complaints. Check Complaints and reply to anyone who is still waiting for an answer.
- Save your invoices. Go to Settings → Billing → Billing history and click Export all, or download each invoice you need.
- Tell your team. Let administrators and workers know the date, so nobody is surprised when they cannot sign in.
- Take down QR codes. Remove or cover the printed QR codes on your assets, because they will stop working.
Cancel the service
- Sign in as the super admin.
- Go to Settings → Account.
- Scroll down to the Danger zone section.
- Read the text in the red box, then click Cancel subscription.
- A confirmation window lists what will happen. Read it carefully.
- To confirm, type cancel in the text box, exactly as shown.
- Click Cancel subscription.
MintCheck signs you out and returns you to the sign-in page, where a message confirms that the service has been cancelled. From this moment, your organization can no longer be used.
