Frequently asked questions
Find quick answers about sign-in, workers, QR codes, schedules, billing, languages and your data.
Account and sign-in
I forgot my password. How do I reset it?
On the sign-in page, click Forgot password. Enter the email address you signed up with, and MintCheck sends you a link to set a new password. If you are already signed in and just want a new password, go to Settings → Account.
How do I give a colleague access to the admin console?
The super administrator adds them in Settings → Administrators. You set their password in the form and choose the site they manage. Your colleague only needs to click the verification link in the email, then sign in. See Administrators.
Why can't a colleague see the billing page or some sites?
Administrators other than the super administrator only see the sites assigned to them. The plan, payment card, and some organization settings are for the super administrator only. See Administrators.
Workers and QR codes
Which app do workers use?
Workers use the MintCheck app for iPhone, iPad and Android. They sign in only once and stay signed in. They also get notifications on their phone when a task is assigned to them, and 30 minutes before scheduled checks of the checklists they look after. See Worker app.
Until a worker installs the app, they can scan an asset's QR code with the phone's camera app, and the worker app opens in the browser. They sign in with their login ID, or with their phone number if you entered one.
A worker sees a message that the QR code belongs to a different site. What should they do?
A worker's sign-in is tied to one site. If they scan a QR code from another site, MintCheck asks them to sign in again as a worker of that site. The new sign-in replaces the old one, so there is no need to sign out first. The worker must also be registered on that site. See Worker app.
Can I delete a worker?
Workers are never removed completely. When you delete a worker, their status changes to Inactive. Their past inspections and tasks are kept. You can make them active again from the worker list at any time. See Workers.
Is there a limit on the number of workers?
No. Every plan allows unlimited workers. To register many people at once, use Bulk register with an Excel file. See Workers.
Workers have trouble finding an asset. Can I show them where it is?
Upload a floor plan to the asset and mark its location with a pin. After a worker scans the QR code and signs in, they tap the Asset info card to see the floor plan with the pin. See Assets.
Inspections and schedules
The number of inspections scheduled today looks too high. Why?
The count is the number of time slots in each checklist multiplied by the number of assets linked to it. For example, a checklist with 2 daily times that is linked to 5 assets adds 10 scheduled inspections. See Checklists.
A worker scanned the QR code, but no checklist appears. Why?
Only checklists that are due right now are shown. Check these three things:
- The checklist is linked to that asset.
- The checklist's schedule includes today and the current time slot.
- The checklist is active.
If you want a checklist that can be done at any time, choose No specific time (Anytime) in its schedule. See Checklists.
Can a worker fix an inspection after submitting it?
Yes, with limits. If the worker scans the same asset again after finishing today's inspection, their own record opens with the previous answers, and they can change them and save again. A worker can't change another worker's record, and a record that already has a re-inspection can't be changed by anyone. A problem report can't be switched to normal by editing it; submit a re-inspection instead. If their own record reported a problem that is not resolved yet, it opens as a re-inspection instead. See Worker app.
A reported problem was fixed. How do we record that?
Ask a worker to scan the asset again and submit a re-inspection. It is saved as a new record, and the original problem is marked Resolved when the re-inspection is normal. If nobody does a re-inspection, the next regular inspection of the same asset and checklist also closes the problem when it comes back normal. If the problem was handled without an inspection, an administrator can open the record and click Mark as resolved with a short note. Until then it shows Unresolved. See Inspection records. Deleting the checklist or the asset, or removing the checklist from the asset, also closes any problems that are still unresolved automatically.
What is a logbook?
A logbook is a checklist without a fixed schedule, used to keep a running record, such as a cleaning log. You can also let anyone scan and write in it without signing in. See Logbook.
Plans and billing
When do I need to register a card?
You can use up to 5 assets for free without a card. When you add a 6th asset, MintCheck asks you to register one, and charges start from that asset. See Plans and billing.
How do I change or cancel my plan?
The super administrator changes the plan in Settings → Billing. Upgrades apply right away. Moving to a lower plan takes effect at the end of the current billing period. If you use more assets or sites than the lower plan allows, reduce them first. See Plans and billing.
Why can't I assign a task to a specific worker or a tag?
Assigning tasks to a specific worker or to everyone with a tag depends on your plan. If your plan doesn't include it, MintCheck shows a message that an upgrade is needed. Tasks assigned to an asset work on every plan. See Work tasks and Plans and billing.
Languages and time zones
How do I change the language?
The super administrator sets the organization's language in Settings → General, under Language. MintCheck is available in 37 languages. The worker app and the public complaint pages follow the language of each person's phone or browser. See Settings.
Why do times look different for different people?
Times are shown in the time zone of the device you are using. A record made at 09:00 in Seoul shows as a different local time for someone in London. The Time zone setting in General is used for schedules and notifications. See Settings.
Data and records
An asset photo I added by image address doesn't show. What should I do?
Photos added earlier by pasting a web image address into the Use URL tab may not show because of security rules. Edit the asset, paste the same address into the Use URL tab again, select Import, and save. MintCheck keeps its own copy of the image, so it shows from then on. If the address can't be imported, download the image and upload it as a file on the Upload file tab.
Can I download inspection records?
Yes. On the Inspections page, click Export to Excel to download the records as an Excel file. See Inspections.
How does the complaint box email check work?
If you turn on email verification for a complaint box, the visitor enters their email address and receives a 6-digit code. They must enter the code within 10 minutes to send the complaint. See Complaint box.
What happens to my data if I cancel the service?
Cancelling the service deactivates the whole organization. No administrator can sign in, the public QR pages stop working, and the same email can't be used to sign up again. Read Cancel your organization's service carefully before you start.
